Exhibitor Rules, Exhibition Space Fees, and Useful Information

The following information regarding exhibitor rules and regulations is subject to change.

The exhibition area is available both in the area intended for exhibitors with sound (testing various instruments for instance) items and the area intended for exhibitors with non-sound items (sheet music etc), through a fee for the rental of an exhibition table measuring 300x70 cm (i.e. 6 connected tables measuring 50x70 cm):

  1. registration and fee: 400 Euros; in the registration fee are also three entry badges
  2. the fee for each additional table (50x70cm) is 15 Euros,
  3. fee for information display space only: 200 Euros, without tables and without entry badges,

Deadline for registration as an exhibitor is April 30, 2026

    For particpants unfamiliar with wire transfers, we recommend visiting https://wise.com. This company allows users to pay with a credit or debit card from any currency to Euros, at a processing fee much lower than most banks will charge for sending a wire transfer. One tip for using Wise: choose your currency in the upper box, Euros in the lower, and enter your exhibitor fee amount in Euros in the lower box. It will be converted back to your home currency.

Exhibitor Rules

1. All exhibitors must pay for table rental to sell or display items at the Symposium. Fees will not be reduced in the case of an exhibitor who uses their own tables, does not need a seat at the table, or does not participate during the Symposium. Additional space occupied by the exhibitor (e.g. racks, tables brought by the exhibitor) will be charged an additional fee and may be refused due to lack of space. If you have any questions, please contact the Exhibits Coordinator. Exhibitors can only use tables provided by the Academy. Placing any objects on pianos is prohibited.

2. Each exhibitor will receive three badges when renting one table (understood as 6 connected tables measuring 50x70 cm) with a total size of 300x70 cm. When renting an additional table (50x70 cm), the exhibitor will receive additional entry badges in the rental price.

3. Each company must register individually to be represented at the Symposium. If your company sells items to another company that will have its own representatives at the symposium, you must register each company separately as an exhibitor. Failure to do so will mean that the unregistered company will not be recognized online, in the program book, or during the Symposium as a participating exhibitor.

4. Exhibitors can also purchase information space only. Exhibitors can advertise their company and products by sending materials (brochures, leaflets, etc.) that will be displayed and distributed throughout the Symposium.

Fee for the use of the information space only is 200 Euros. The fee for the information-only space does not include any entry badges for exhibitors or admission to the symposium.

Exhibition space allocation

The exhibition space will be allocated by the Exhibits Coordinator after the exhibitor's registration is completed.

Exhibition halls for exclusive use are allocated on a first-come, first-served basis.

All tablecloths shall be supplied by the exhibitor.

Internet and electricity access

All exhibitors will have access to the Wi-Fi of the Academy of Music in Krakow. Login and password will be provided during registration in Krakow. Exhibitors can also use a business or personal hotspot to connect to the internet. Power strips and extension cords with electric current (230 V) will be available around the perimeter of the room in the exhibition spaces. In Poland, type C and E electrical sockets are used (as in the picture). Be sure to bring an adapter if needed.

Exhibition schedule

  • Monday, July 6: possibility of unloading from 3 p.m. to 7 p.m.
  • Tuesday, July 7: unloading from 9 a.m. to 2 p.m., exhibition from 4 p.m. to 7 p.m.
  • Wednesday, July 8: exhibition from 10 a.m. to 1 p.m., 3 p.m. to 5 p.m.
  • Thursday, July 9: exhibition from 10 a.m. to 1 p.m., 3 p.m. to 5 p.m.
  • Friday, July 10: exhibition from 10 a.m. to 1 p.m., 3 p.m. to 5 p.m.
  • Saturday, July 11: exhibition from 10 a.m. to 1 p.m., after 1 p.m. dismantling and packing.

Exhibitors are asked to provide an approximate time of arrival so that the staff can assist with the unloading of items. Exhibition spaces will be closed except for the hours listed above.

Parking

The Academy is located in the old centre of Krakow in a limited car traffic zone. Access directly to the entrance gate of the Academy is not possible without a special permit. To get near the Academy, enter the address: Krakow, ul. Mikołaja Kopernika 1.

Parking is available on the street (paid parking zone is valid from 9 a.m. to 10 p.m. on all days of the week).

We recommend a 24/h guarded car parking with monitoring at ul. Mikołaja Kopernika 1. This is the car park closest to the Academy. For the password "Horn Symposium," the price will be equal to PLN 80 / day, i.e. which is lower than the parking on the street.

Opening of the halls

For the safety of all exhibitors and their property during the Symposium, the halls will be open only during designated hours. Please plan your activities carefully.

No objects may be placed, glued, nailed, screwed or otherwise attached to any part of the walls, floor, or any other part of the building or furniture. The costs of any damages resulting from non-compliance with these guidelines are borne by the issuer.

Liability and insurance

The Academy will make every effort to ensure the safety and protection of exhibitors' property, but is not responsible for property damage, theft, and other damages, including those resulting from fire and flooding. Also, the International Horn Society is not responsible for damage to exhibitors' property, theft, and other damages.

Exhibitors are responsible for any possible damage caused to the Academy in connection with the use of the Academy's space, and they are also responsible for the insurance of the exhibited materials and goods.

The Academy will provide lockable rooms in its building, where exhibitors will be able to safely leave their belongings. The rooms will be located in a building covered by round-the-clock security.

The Academy does not bear any responsibility for any obligations of the exhibitors. The Academy may refuse to provide the exhibitor a space if the exhibited materials or goods would be of a dangerous nature, or would in any way violate the provisions of common law, internal regulations of the Academy, or would be inconsistent with the purpose of the Symposium.

The Academy is not responsible for goods delivered to the exhibition area before the symposium or items located on the exhibition area after the exhibitions have closed.

All materials sent to the Academy of Music in Krakow should be sent to the following address:

Items submitted before the Symposium should be delivered to the Academy in the following periods:

- until 31 May 2026 – information space only
- June 25 – July 6 – exhibitions on tables

and will be stored at the Krzysztof Penderecki Academy of Music.

Disassembly and packaging

Exhibitors should pack their items no later than Saturday, July 11, 2026, from 1 p.m. to 6 p.m.; All items must be removed from the exhibition halls by 6:00 p.m. Only items prepaid for shipment (via courier companies) and with a pick-up time on Monday, July 13, 2026 will be allowed to remain at the Academy of Music after the exhibitions close. Exhibitors must inform the Exhibits Coordinator if they plan to leave items for collection by courier companies.

The Exhibits Coordinator, the Academy of Music, or the International Horn Society cannot make payments to courier companies on behalf of exhibitors. If the courier does not accept any shipment, the sender will be notified and the shipment will be held for a period of no more than one week. After this time, it will be disposed of, without the need to contact the Exhibits Coordinator, the Symposium Host, or the International Horn Society. All items left behind will be disposed of.

Exhibitors must collect any leftover rubbish, packaging materials, or unwanted items and dispose of them properly. Leave your place in the state in which you found it.

Terms and Conditions and Agreement

This general information and regulations for exhibitors will become part of the agreement between the exhibitor and the Krzysztof Penderecki Academy of Music in Krakow. They have been formulated with the best interest of the exhibitor in mind. We ask exhibitors to fully cooperate in complying with them.

All points not covered herein are subject to the decision of the Academy of Music, the Symposium Host, and the International Horn Society.

Cancellation and refund

In the event of cancellation, refunds will be available depending on the date of cancellation:

  • until 30 April 2026 – 75% refund
  • from 1 to 31 May 2026 – 50% refund
  • on or after June 1, 2026 – NO refund (unless cancellation is due to force majeure).
